Returns, Refunds and Cancellations

At By Meadowbrook, we are committed to providing a clear and straightforward shopping experience.

Please review this policy carefully before placing an order. By purchasing from our website, you agree to the terms outlined below.

1. Return Period

Eligible items may be returned within 30 days of delivery, subject to the conditions described in this policy.

Return requests submitted more than 30 days after delivery may not be accepted.

2. Return Eligibility

To qualify for a return, an item must:

  • Be unused, unworn, unwashed, and undamaged

  • Be in its original condition

  • Include all original tags, labels, accessories, and packaging

  • Be submitted for return within 30 days of delivery

  • Receive approval from our customer support team before being shipped back

You may try on clothing as you would in a retail store. However, items showing signs of wear, washing, odors, stains, alteration, or damage may be rejected or subject to a reduction in refund value.

3. Damaged, Defective, or Incorrect Items

Please inspect your order as soon as it arrives.

If an item is damaged, defective, or incorrect, contact us within 14 days of delivery at support@bymeadowbrook.com.

Please include:

  • Your order number

  • Clear photos of the item

  • Clear photos of the original packaging

  • A brief description of the issue

After reviewing your claim, we may provide a replacement, refund, partial refund, store credit, or another appropriate resolution.

Claims submitted more than 14 days after delivery may not qualify for a complimentary replacement or refund.

4. Non-Returnable Items

We cannot accept returns for:

  • Personalized or custom-made products

  • Items with removed or broken hygiene seals

  • Items damaged through misuse, improper care, or normal wear

  • Final-sale items clearly marked as non-returnable

  • Gift cards

  • Products returned without prior authorization

For hygiene reasons, underwear, shapewear, bras, swimwear, and similar intimate products cannot be returned once the protective or hygiene seal has been removed.

5. Return Shipping

Unless an item arrived damaged, defective, or incorrect, customers are responsible for all return shipping costs.

Customers are responsible for:

  • Choosing a reliable and trackable shipping service

  • Paying applicable return shipping charges

  • Packaging the item securely

  • Making sure the return address and shipping details are accurate

  • Keeping the return tracking information until the refund is completed

By Meadowbrook is not responsible for returns that are lost, damaged, delayed, or sent to an unauthorized address.

We strongly recommend using a trackable shipping method. Returns sent without tracking may be difficult to verify.

6. Restocking Fee

A 15% restocking fee may be deducted from approved returns to cover inspection, processing, repackaging, and inventory handling.

This fee may also apply to:

  • Unopened packages

  • Orders refused at delivery

  • Packages left unclaimed

  • Orders automatically returned to the sender

  • Approved cancellations made after order processing has started

The restocking fee may be waived when we confirm that an item arrived damaged, defective, or incorrect.

Each return is reviewed individually.

7. Return Address

Do not return an item to the address shown on the original package or to our business address.

Approved returns must be sent only to the return address provided by our customer support team.

Returns sent without authorization or to another address may be rejected and may not qualify for a refund.

8. How to Request a Return

To begin a return, email support@bymeadowbrook.com and provide:

  • Your full name

  • Your order number

  • The item or items you wish to return

  • The reason for the return

  • Your shipping address

  • Clear photos when reporting a damaged, defective, or incorrect item

Our support team will review your request and provide return instructions when the return is approved.

Please do not ship your return until you have received authorization and the correct return address.

9. Order Cancellations

Orders may be canceled within 30 minutes of purchase by contacting support@bymeadowbrook.com.

We will make every reasonable effort to process your cancellation. However, cancellations are not guaranteed once an order has entered processing, fulfillment, or shipment preparation.

Approved cancellations submitted after the initial 30-minute window may be subject to an 8% processing fee to cover payment processing and operational costs already incurred.

Once an order has shipped, it cannot be canceled. You may request a return after delivery in accordance with this policy.

10. Refunds

After your return has been delivered, our team will inspect the item and notify you whether the refund has been approved.

When approved:

  • The refund will be issued to the original payment method

  • Applicable restocking fees will be deducted

  • Original shipping charges are non-refundable

  • Optional shipping protection or insured delivery charges are non-refundable

  • Return shipping charges are non-refundable unless the item was confirmed to be damaged, defective, or incorrect

Please allow up to 10 business days for us to inspect and process an approved return after it has been received.

After the refund is issued, your bank or payment provider may require an additional 5–10 business days to post the funds to your account.

Processing times vary by financial institution and are outside our control.

11. Free Shipping and Refund Deductions

By Meadowbrook may offer free standard shipping on qualifying U.S. orders.

Although shipping may be shown as free to the customer, By Meadowbrook still incurs fulfillment and delivery costs. Where permitted by applicable law, the original shipping cost may be deducted from the refund for:

  • Orders refused at delivery

  • Unclaimed packages

  • Orders returned because of an incorrect or incomplete address

  • Returns that reduce the order below the minimum value required for a free-shipping promotion

This deduction does not apply when the return is caused by a confirmed damaged, defective, or incorrect item.

12. Promotional Discounts and Partial Returns

If your order included a promotional discount, bundle offer, buy-more-save-more deal, or other conditional promotion, your refund may be recalculated when part of the order is returned.

Discount eligibility is based on the items you keep after the return.

For example, if returning an item causes the remaining order to no longer qualify for the original promotion, the discount may be adjusted or removed. The value of the discount may then be deducted from your refund.

Refunds are calculated using the final qualifying value of the order after returned items and promotional adjustments have been applied.

Applicable restocking fees and return shipping charges may also be deducted.

13. Exchanges

We do not guarantee direct exchanges.

When an exchange is available, it is subject to product availability and approval by our support team.

In some cases, the fastest option is to return the original item for a refund and place a new order for the preferred size, color, or product.

14. Store Credit

In certain situations, we may offer store credit as an alternative resolution.

Store credit:

  • Is issued at our discretion

  • Cannot be exchanged for cash

  • Is non-refundable

  • May only be issued once for the same item or order

  • May be subject to an expiration date where permitted by law

Any applicable terms will be provided when the store credit is offered.

15. Incorrect or Incomplete Shipping Addresses

Customers are responsible for reviewing their shipping information before completing checkout.

If an order cannot be delivered because the address provided was incomplete or incorrect, we may:

  • Arrange redelivery after the package is returned and the correct address is confirmed

  • Require payment of an additional shipping charge

  • Issue store credit

  • Process a refund after deducting applicable shipping, handling, and restocking costs

If a package is successfully delivered to the address entered at checkout, By Meadowbrook is not responsible for loss caused by incorrect address information provided by the customer.

16. Refused and Unclaimed Packages

Packages that are refused, left unclaimed, or automatically returned to the sender will be reviewed after they arrive at the designated return facility.

Any approved refund may be reduced by:

  • The 15% restocking fee

  • Original shipping and fulfillment costs

  • Return-to-sender charges

  • Customs, carrier, or handling fees, when applicable

A refund cannot be processed until the returned package has been received and inspected.

17. Return Abuse

By Meadowbrook reserves the right to limit or refuse returns when we reasonably identify:

  • Excessive or repeated returns

  • Fraudulent activity

  • Wardrobing or signs that an item was used before being returned

  • Altered, falsified, or misleading evidence

  • Abuse of promotional offers

  • Violations of this policy

Any decision will be made in accordance with applicable law.

18. Policy Updates

By Meadowbrook reserves the right to update or modify this policy at any time.

Changes become effective when the revised policy is published on our website. The policy in effect on the date of your purchase will generally apply to your order, except where a change is required by law.
